What To Include In Your Welcome Packet

A welcome packet is a must-have for any business. When you are running your own business and trying to manage multiple tasks, time management and preparation are necessities. Maintaining professionalism and organization will ensure relationships with each client.

 

Creating a welcome packet is a great way to impress your clients and build a strong brand. By creating a welcome packet, you are able to set boundaries and expectations from the beginning.  You also have the opportunity to answer questions before they are asked. This will save you time with your communication. Do you know what to include in your welcome packet for potential clients?

 

You are trying to create an experience with your clients and every bit of communication will add to that experience.

INITIAL EMAIL

Potential clients typically will contact you through a form on your website or an email.  At this point they may schedule a consult or request pricing. If a consult is the first interaction, use email to follow up and reiterate what you may or may not have discussed and include your welcome packet.

 

This first emails is a great opportunity to thank them for their interest and their potential business.  You can include a link to your welcome packet or attach a PDF. I use Canva to create mine. You can connect payment links and download it as a PDF or you can share it using a link.

 

When it comes to building a welcome packet, include these key elements:

WELCOME & GRATITUDE

The first section of your welcome should thank them for the opportunity, but also show them that you are qualified to help them. If they found you through your website or social media they probably know you are qualified to help them, so this is an opportunity to just remind them that you are a good fit and let them know that you have helped others get the sought after results.

 

This first section should also go into detail about what they will be getting by working with you. This can be a product, service, or transformation. List the brief details of  what is included or will be discussed when working with you.

PROCESS

The next section of your welcome packet will discuss the process. Give a brief overview of what it will look like to work with you. Let them know how you work and what systems you may use in your correspondence and delivery modes.

 

This section could include: when and where you will meet, scheduling information, guidelines, canceling or rescheduling policies, and anything else they need to know about your process.

 

Expectations

In this email, you will go into great detail about what the client can expect from working with you. Make sure to cover every detail and layout your expectations.  Give them a timeline with dates to ensure you are on the same page. You may have discussed some of these details in a consult or conversation, but you want to reiterate it in writing.

SUPPORT

This section will educate your potential clients on the best way to get a hold of you. If you use apps like Voxer or Marco Polo you could list that as a communication option. You could also include information on Facebook Groups, Slack, or any other support. Also, in this section you can include programs you use such as Kajabi, Teachable, or YouTube.

 

This is also a great section to set some boundaries. Let your potential clients know that you have specific office hours and certain times that you are not available. You can include what your standard turnover time is. For example, you can say I will get back to you within 24 hours. It is best to let clients understand your policies beforehand so there are no surprises.

 

Word to the wise, try to hold solid to your time boundaries. All it takes is one time to communicate during the weekend or at 11:00pm at night and then your client will start expecting that.

WHAT TO EXPECT

You can also include a section on what they can expect by working with you. This is a section where you can reiterate that you are dedicated to their success. You can state that you will be dependable, hold them accountable, support them, and do everything you can to help them get results.

 

Depending on what type of coaching you are doing, but this could be a opportunity to remind your client that you will give them the tools they need to succeed, but ultimately it is up to them to put in the work.

PRICING

 

Last section and your call to action. If you require payment upfront, link your payment options near the end of your welcome packet.  If payment is required at a later time, link your entire price list to ensure they know what exactly what they are investing in.  If you provide completely custom and tailored quotes, break down the details of the quote and follow it up with a separate email.

 

Make it as easy as possible for your potential clients to pay you. Hyperlink your payment options in your welcome packet, so all they have to do is click a button and it will redirect them to the payment portal.

 

Communication is very important in any business. Take the time and effort to create a thorough and detailed welcome packet that represent your brand and reflect your values.

 

When you know what to include in your welcome packet for potential clients it builds rapport and trust and shows a level professionalism that will set you apart from your competition.
